Job Summary:
Reporting to the Peat Bog Operations Leadership Team, the Administrative Assistant will support daily operational activities across multiple production sites. This includes managing communications, coordinating administrative tasks, maintaining documentation, supporting inventory processes, and ensuring timely follow-up on action items to keep operations running smoothly and efficiently.
Compensation: $47,000 annually

Job Responsibilities:
Manage internal and external communications (emails, calls, follow-ups) for peat operations
Place orders for parts and equipment at the request of site supervisors
Prepare, review, and distribute administrative documents (forms, reports, procedures, correspondence)
Maintain calendars, deadlines, and performance dashboards
Participate in team meetings, prepare minutes, and track follow-up actions
Support managers with operating budgets and monthly financial tracking
Track work orders and maintenance requests
Assist with managing service contracts and purchase orders related to equipment
Support entry and validation of peat and equipment inventories
Monitor inter-site transfers and maintain material movement records
Compile data for monthly and seasonal production reports
Additional duties as assigned by Supervisory staff
Qualifications:
Diploma in Office Administration, Business Administration, or related field
3–5 years of administrative experience; industrial or agricultural experience is an asset
Strong understanding of operational processes
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams)
Experience with management systems (e.g., Business Central, Geotab) and databases
Basic accounting knowledge (purchase orders, budget tracking, etc.)
Excellent organizational skills and high attention to detail
Ability to manage multiple priorities and meet deadlines
Strong communication skills; bilingual (French & English) required, spoken and written
Professionalism, discretion, and strong team orientation
Physical Requirements:
Prolonged periods of sitting, standing, and walking
Ability to travel between sites as required
Work Environment:
Office-based with occasional visits to peat bog and production sites
Exposure to operational environments; may include dust, noise, and industrial conditions
